Privacy notice
Research Job Finder helps a researcher find UK research jobs, prepare applications and find academics in their field. It never submits applications or sends emails to anyone on a user's behalf.
Who is responsible
The data controller is Joe Felthouse. Contact: example@gmail.com.
What we hold about users
- Your account email address and sign-in records.
- Your profile: field, keywords, locations, salary floor and contract preferences.
- Documents you upload (CVs, cover letters, statements) and the text extracted from them.
- Job matches, scores and your feedback; applications, their status history and notes.
- Application drafts and enquiry drafts to academics.
- A record of AI usage (token counts per request), used to cap daily spending.
We use this to provide the service you signed up for (contract), and keep error reports and usage records to run it securely (legitimate interests).
What we hold about academics
Public data from OpenAlex: name, institution, research topics, ORCID and recent papers. We don't collect email addresses. We use it so a user can find relevant academics and write a one-to-one enquiry (legitimate interests). You can ask to be removed; once approved, your details are deleted and you won't be added again.
Who processes data for us
- Supabase: database, sign-in and file storage (UK (London) for the live service).
- Vercel: hosting the website and scheduled jobs (may process data in the United States).
- Anthropic: AI analysis of job adverts, match scores and draft text (United States).
- Resend: sending sign-in emails and the daily digest (may process data in the United States).
- Sentry: error reports, with personal details removed (European Union (Germany)).
- GitHub: storing encrypted weekly database backups (United States).
- OpenAlex is a source of public academic data; nothing about users is sent to it.
Transfers outside the UK rely on the UK–US data bridge or the UK International Data Transfer Addendum.
How long we keep it
- Your account data: until you delete your account.
- Raw job advert data: 30 days. Jobs closed over 90 days ago are deleted unless you saved or applied for them.
- Removal requests: the requester's IP hash after 1 day; their name and email 30 days after the request is resolved.
- Encrypted backups: 35 days.
Your rights
You can see, correct, download or delete your data. Signed-in users can do this themselves on Settings: Download my data gives a .zip of everything we hold about you, including your uploaded files, and Delete my account permanently deletes it. You can also object to processing or ask us to restrict it.
If you're unhappy with how we handle your data, you can complain to the Information Commissioner's Office.
